How Orbnex Connect handles information.
Orbnex Connect collects information needed to create secure customer access, operate connectivity and power-planning workspaces, process subscriptions, support imports and CRM-ready workflows, generate documents, provide support, and protect the platform. This policy applies to Orbnex Connect public pages, signup and login flows, customer workspaces, operator support tools, and related communications.
Information we collect
- Account and contact details, such as name, company, work email, and phone number.
- Workspace details, such as cross-connect records, circuit IDs, provider notes, facilities, cabinets, ports, renewal dates, MRC/spend fields, LOA/CFA documents, audit notes, tasks, and import files.
- Power planning details, such as RPP, panel, breaker, feed, capacity, assignment, oversubscription, and approval notes.
- CRM, webhook, import, and API metadata needed to map fields, test connections, prepare exports, sync records when enabled, and troubleshoot integrations.
- Payment and subscription events processed through Stripe. Orbnex Connect does not store full card numbers.
- Security, device, browser, request, and support logs used to protect accounts and diagnose issues.
How we use information
- To create accounts, authenticate users, and enforce subscription access.
- To operate dashboards for cross-connects, power planning, migrations, imports, exports, and CRM field mapping.
- To run authorized CRM, ticketing, DCIM, API, CSV, and webhook workflows selected by the customer.
- To provide customer support, audit visibility, security monitoring, product reliability, and platform improvement.
- To generate customer-requested reports, LOA/CFA documents, templates, summaries, and operational exports.
- To comply with legal obligations, enforce terms, prevent abuse, and protect Orbnex, customers, and the public.
Customer workspace data
Customer workspace data may describe sensitive infrastructure workflows, provider relationships, facility locations, circuit paths, power capacity, and migration plans. We treat this as customer-controlled operational data. We do not use customer workspace data to build unrelated marketing lists, and we do not sell customer workspace data.
Service providers and sub-processors
Orbnex Connect relies on the following providers to operate the service. Each receives only the information needed to perform its function:
- Cloud hosting, database, authentication, and storage infrastructure that runs the application and securely stores account and workspace data, with encryption in transit and at rest.
- Stripe โ subscription billing and payment processing. Orbnex Connect does not store full card numbers.
- Tawk.to โ the live-chat support widget; it processes your messages and basic visitor details when you use chat.
- Privacy-focused product analytics used to understand site usage and reliability.
- Customer-selected CRM, ticketing, DCIM, API, and webhook integrations that you choose to connect.
Data is hosted in the United States. Where personal data is transferred internationally, we rely on appropriate safeguards as required by applicable law. A detailed list of our infrastructure sub-processors is available to customers on request.
How information is shared
- With users in the same authorized customer workspace, according to their account access.
- With Orbnex operators who need access to provide support, troubleshoot, investigate security issues, or manage subscriptions.
- With service providers and integrations needed to operate the service or complete customer-requested workflows.
- With legal, compliance, or security parties if required by law or necessary to protect rights, safety, and platform integrity.
Cookies and tracking
We use cookies and similar technologies to keep you signed in, remember preferences, secure the platform, measure site usage, and power the support chat. You can control cookies through your browser settings; disabling some may affect sign-in or chat. Where required by law, we ask for consent before setting non-essential (analytics and chat) cookies.
Your privacy rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. California residents may request access to or deletion of personal information and may opt out of sale or sharing โ Orbnex Connect does not sell personal information. To exercise any of these rights, email info@orbnexlabs.com and we will respond as required by applicable law.
Data retention
We retain account, workspace, document, audit, and billing information while your subscription is active and as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security logs, and support backups. You may request deletion of your workspace data, subject to records we are required or permitted to keep by law, security, billing, or dispute-resolution needs.
Security notes
Customers should keep passwords, API tokens, webhook secrets, CRM credentials, generated documents, and exported spreadsheets secure. Secrets should be stored only in the platform's configured secret storage or the customer's approved systems, not in shared spreadsheets or public notes. No system can be guaranteed completely secure, but Orbnex works to use reasonable technical and organizational safeguards.
Children's privacy
Orbnex Connect is a business software platform and is not intended for children or personal consumer use. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy as the product, legal requirements, or providers change. When we make material updates, we will update the date on this page and may provide additional notice through the site, email, or the customer portal.
